This policy explains how SetPerception (“we”, “us”, “our”) collects and uses personal data when you use our website or contact us about branding and Webflow website services.

SetPerception is a UK-based creative studio providing brand identity and Webflow website services.

2) What this policy covers

This policy applies when you:

  • visit our website
  • submit an enquiry through our forms
  • communicate with us about a project and, if you become a client, during delivery

3) Personal data we collect

A) When you browse the website

  • Technical data that helps the site work and stay secure (device/browser information and basic logs).
  • Cookie choices you make (accept/reject).

If you accept analytics cookies, we also collect website usage data through Google Analytics (see section 9).

B) When you contact us or submit an enquiry

We collect what you choose to send us, typically your contact details and information about your project (for example, your message and any form selections such as budget range, company size/industry, or how you heard about us).

C) If you become a client

We may process additional information needed to deliver the project, such as project communications and feedback, billing/invoicing details, and materials you provide (copy, images, brand assets, access details).

Please don’t send sensitive personal data (for example, health information) through the website form or by email/WhatsApp unless we specifically ask for it.

4) How we use your data (and our lawful bases)

  • Respond to enquiries and decide whether we’re a fit (legitimate interests / taking steps before entering a contract).
  • Prepare quotes/proposals and deliver agreed services (contract).
  • Manage admin like invoices, record-keeping and resolving issues (legitimate interests and/or legal obligation).
  • Keep the website secure and functioning (legitimate interests; essential cookies).
  • Improve the website using analytics, only if you consent (consent).

5) Who we share your data with

We only share personal data when it’s necessary to run the site, handle enquiries, or deliver services. This can include:

  • Webflow (website hosting and form handling).
  • Email delivery / inbox providers (so we can receive and reply to enquiries).
  • Google Analytics (only if you accept analytics cookies).
  • Collaboration tools used during projects (only where relevant).
  • Contractors/subcontractors we use to help deliver services (only where needed, under confidentiality).

6) International transfers

Some suppliers may process data outside the UK. Where this happens, we rely on appropriate safeguards (for example, contractual protections used by those providers).

7) How long we keep personal data

  • Enquiries that don’t become projects: typically kept for up to 12 months.
  • Client/project records and invoices: typically kept for up to 6 years.

We may keep data longer if required by law, or shorter if it’s no longer needed.

8) Your rights (UK GDPR)

You can ask us to access, correct, delete, restrict or transfer your data, and you can object to certain processing. You can also withdraw consent at any time where we rely on consent (like analytics cookies).

9) Cookies & analytics

A) Essential cookies

We use essential cookies (and similar technologies) to keep the site secure and working properly. These don’t require consent.

B) Analytics cookies (Google Analytics)

 If you accept cookies, we use Google Analytics to understand how the website is used and improve it. If you reject analytics cookies, analytics will not run.

You can accept or reject cookies using the banner. You can change your choice any time using the button below and clicking reject once the cookie panel appears.

10) Marketing messages

We don’t send unsolicited marketing. If we ever add marketing (for example, a newsletter), we’ll ask for opt-in consent and you’ll be able to opt out any time.

11) Security

We take reasonable steps to protect personal data (access controls, sensible retention, and reputable platforms). No system is 100% secure, but we aim to minimise risk.
